Organization & Departments

The organization area keeps the workspace profile, the organization tree, departments, and members. Everything here is tenant-side data: permissions, forms, approvals, notifications, and analytics filters all read organizations, departments, and members from it.

Three pages cover this area:

PageWhat it is for
Organization Profilethe workspace profile of the current tenant
Organization Structurethe organization/department tree with the members of the selected node
Organizations and Departmentsflat lists of organizations, departments, and members, plus batch adjustments

Organizations, departments, and members are stored as the built-in directory forms organization, department, and member; editing a record opens the corresponding built-in form.

Organization Profile

The page opens with the current workspace summary and the profile configuration of the tenant:

AreaWhat it shows
Organizationthe organization logo and the workspace name
Current planthe plan of the workspace: Free, Professional, Team, or Enterprise
Profile Configurationworkspace name, space ID, access address, creation time, and expiration time

The page provides these actions:

  • Edit — opens the profile editor
  • Refresh / Refresh Content — reloads the latest profile from the server without changing anything
  • Subscription Information — opens the current subscription, subscription records, orders, plan claims, refunds, and invoices

The expiration date turns red when seven days or less remain. When no expiration date is set, the page shows -. For purchasing, renewing, or changing a subscription, see Subscriptions, Orders & Invoices.

Edit the Organization Profile

  1. Open Organization Profile
  2. Click Edit
  3. Change the fields you need
  4. Click Save Changes
FieldRequiredNotes
Organization LogoNoupload a light-mode and a dark-mode logo; only image files are accepted, and the page shows an upload failure when another type is chosen
Workspace NameYesthe main name of the workspace; saving without it is rejected
Custom Login Page URLNoan HTTPS page integrated with the Soln login SDK; leave empty to use the default page. See Custom Login Page

The editor writes through to the tenant profile: the page reloads the profile after a successful save, and the workspace name is what other pages display as the organization name.

Organization Structure

Open Organization Structure to see the tree on the left and the content of the selected node on the right. The panel title shows the current organization or department; click the title to copy the record ID when it is available.

Find and filter nodes

OperationDescription
Search Structurefilters the organization and department trees by keyword, so only matching nodes stay visible
Active structuresshows enabled organizations and departments
Disabled structuresshows disabled organizations and departments; switch through the menu on the panel title
Select a nodeloads the members of that organization or department in the right panel

Empty state: with no match the panel shows that nothing matches the keyword, and with no data at all it shows that no structure exists yet.

Node actions

Right-click a node (or use its action menu) to maintain the tree:

ActionApplies toDescription
Edit Organizationorganizationopens the organization profile form
Create Sub-organizationorganizationcreates a child organization under it
Create Departmentorganizationcreates a department directly under the organization
Edit Departmentdepartmentopens the department form
Create Sub-departmentdepartmentcreates a child department under it
Make Independent Organizationorganizationmoves the selected organizations out of their current organization group; departments and members keep their current assignment
Disable / Enableorganization, departmentchanges the status of that single node

Create or edit departments

FieldRequiredNotes
Department NameYesthe name shown in the tree
Parent DepartmentNothe parent node; leaving it empty keeps or moves the department to the top level
LeaderNothe member responsible for the department
StatusYesenabled or disabled
Sort OrderYesposition among its siblings

Move organizations and departments

Drag a node in the tree to change its parent or its order, or use Move Department to set the parent and sort order explicitly. Moving is available when:

  • the active structure view is selected
  • the structure is not filtered by search
  • batch mode is not enabled
  • no other move or batch update is running

While the move is being saved the panel shows that the structure is updating; if it fails, the page keeps the previous structure and reports the failure. The initial organization cannot be re-parented.

Members of a node

The right panel lists the members of the selected organization or department:

OperationDescription
Search Membersfilters the list under the current node
View Member Detailsclick a member to open the detail card; the card shows employee ID, phone number, job title, join date, and the created and modified times, plus the other profile fields of the member form
Copy Member IDclick the member name in the detail card
Create Membercreates a member through the built-in member form
Edit Memberopens the member record from the list or the detail card
Refreshreloads the members of the current node
Pagination10, 20, 50, or 100 members per page

Empty state: the list says whether nothing matches the keyword or the node simply has no members yet.

Batch mode

Batch mode updates several structures and members at once. It needs the Adjust Organization Structure permission, so it is hidden for users without it.

  1. Click Batch Mode in the structure panel. The tree and the member list become checkable
  2. Select organizations, departments, or the visible members, or use Select All for the members of the current node
  3. Click Disable Selected or Enable Selected in the member top bar; the action applies to every selected organization, department, and member
  4. For selected enabled members, click Change Department, choose the target department, and confirm
  5. Click Batch Mode again to leave batch mode and clear the selection

Batch actions follow these rules:

RuleDescription
Keep one enabled organizationthe last enabled organization cannot be disabled
Keep one enabled departmentthe last enabled department cannot be disabled
Keep one enabled memberthe last enabled member cannot be disabled
The initial structure cannot be disabledthe initial organization and the initial department cannot be disabled
The default member cannot be disabledthe default member cannot be disabled, but its department can be changed
Enable the parent firstan organization or department that still holds enabled members cannot be disabled; move or disable those members first
Enable the structure firsta member's organization must be enabled; when a department is assigned, that department must also be enabled

Optional Department And Deletion

A member must belong to an organization, but its department is optional. Create members without a department or clear an existing assignment; the member remains in its organization and the profile department field is cleared too.

Use the tree's node action menu to delete an organization or department:

ObjectDeletion rule
Initial organizationCannot be deleted
Other organizationsCan be deleted once child organizations, departments, members, and business or permission references are resolved
Initial and other departmentsCan be deleted once child departments, assigned members including inactive members, and business or permission references are resolved

Clear or change member department assignments before deleting their department. Deletion retains historical and audit data; restoring a profile record alone cannot restore a deleted organization or department. The rules for disabling initial structures above remain separate from deletion rules.

To use an external directory, see Enterprise Identity Plugins. Identifier binding alone does not change the internal structure; automatic synchronization must be enabled separately.

Organizations and Departments

The list page is the flat, filterable view of the same data. Open it with Organizations and Departments at the bottom of the structure panel, and use Back to Organization Structure to return.

The panel groups the lists by entity, each with an Enabled and a Disabled entry:

ListEnabled / Disabled
Organization Listorganizations by status
Department Listdepartments by status
Member Listmembers by status

Search the list names with the search box above the menu, and select a list to load its records in the table.

Batch adjustments on this page, all requiring the Adjust Organization Structure permission:

ActionDescription
Make Independent Organizationmoves the selected organizations out of their organization group; their departments and members keep their assignment
Adjust Departmentre-assigns the selected departments; child departments and members follow the department
Adjust Member Departmentmoves the selected members to an enabled department; the member's organization follows the target department

The page reports how many records each batch action changed, and lists the records it could not change (for example an organization that is already independent, or the initial organization).

Member card settings

Adjust Member Card in the header decides which member fields the member detail card shows:

OperationDescription
Groupscreate and rename groups; the card starts with Basic Information and Other Information
Add Fieldspick the member fields that belong to the selected group
Saveapplies the card layout for everyone
