Subscriptions, Orders & Invoices
In the current workspace, open System → Organization Profile → Subscription Information to view your plan entitlements and manage subscriptions. The subscription page is at /system/organization/subscription.
View the Current Subscription
The left menu provides these sections:
| Section | Purpose |
|---|---|
| Current subscription | Current plan, billing period, seats, entitlement status, expiration, and auto-renewal status |
| Subscription records | Status, period, and seats for each subscription |
| Order history | Purchase and gift orders, with payment, cancellation, refund, and invoice actions when available |
| Plan claims | Associate an unclaimed plan with the current workspace |
| Refund records | Refund applications, review decisions, fees, net refund amounts, and progress |
| Invoice records | Invoice applications, invoices, and credit notes / red invoices |
Current subscription shows paid seats, gifted seats, and total available seats separately. A gift's plan and seats appear separately from its validity period. Existing gift entitlements remain valid until their original expiration after you purchase a paid plan.
Team subscriptions also show Subscribed seats, Next-period subscription seats, Available seats, and Active members. The free plan does not create a paid subscription record; its member limit appears here.
Buy or Change a Plan
- Select Manage subscription in the top right to open the plan selection dialog
- Select Buy plan under an available plan, or Change plan under Team when an existing Professional subscription supports the change
- On the order page, check the workspace, plan, monthly or yearly billing period, seats, and cost
- Choose an available payment channel and complete payment
- Return to Subscription Information and select Refresh to check the payment status and subscription entitlements
Plans include Free, Professional, Team, and Enterprise. Select Contact sales for Enterprise. Available plans, payment channels, and management actions depend on the current workspace and subscription status; use the options shown on the page.
Renewal and Auto-renewal
Alipay and Paddle support different subscription operations:
| Operation | Alipay | Paddle |
|---|---|---|
| Renewal method | Manual renewal | Automatic renewal |
| Renew | Select Renew plan in the current plan's management dialog and pay the new order | Charges follow the billing period while auto-renewal is enabled |
| Turn off auto-renewal | No automatic renewal charges | Select Turn off automatic renewal in the management dialog |
| Change Professional to Team | Currently unavailable | Change plan appears when eligible |
| Change monthly to yearly | Currently unavailable | Switch to yearly appears when eligible |
After opening Manage subscription in the top right, select Manage subscription under the current plan to view auto-renewal status, the current period end, and available operations.
Turning off auto-renewal retains current entitlements until the period ends and stops subsequent automatic charges. It does not request a refund. Alipay subscriptions require manual renewal; complete payment before expiration.
Adjust Team Seats
Select Adjust seats under your current Team plan in the plan selection dialog.
| Payment channel | Adjustment behavior |
|---|---|
| Alipay | Buy additional seats on the order page; the charge covers the remaining subscription period and seats take effect after payment |
| Paddle | Add seats through an order for the additional charge; reductions take effect next period without changing the current period |
For Paddle reductions, enter the target quantity and confirm the next-period seats. The page shows the effective date. Before that date you can modify the scheduled quantity or restore the current subscribed quantity to cancel the reduction.
If enabled members exceed total available seats, follow the page's notice to disable the excess members or buy more seats. Existing member data is retained.
Pay, Cancel an Order, or Claim a Plan
- Pay now: resume payment for an eligible unpaid order in Order history.
- Cancel: cancel an eligible unpaid order. This does not cancel an active subscription.
- Claim: in Plan claims, select an unexpired pending claim, check the plan and current workspace, and confirm.
A workspace with an active automatically renewing subscription cannot claim the same plan again or directly claim a different plan. Use subscription management to change plans.
Request a Refund
- Find the order in Order history and select Request refund
- Select a reason category and either refund the full remaining refundable amount or request a partial refund; partial refund availability depends on the channel and transaction
- Check the remaining refundable amount, requested amount, payment channel fee, and net refund, and enter a detailed reason
- When prompted to deduct the original Alipay payment fee, confirm your agreement before submitting
- Check the review explanation and status in Refund records
The current self-service entry requires payment within 24 hours and an unexpired associated subscription. The First subscription 24-hour refund guarantee additionally requires an eligible initial payment for the first subscription, an unused guarantee, and a non-Enterprise plan. Eligible first-subscription requests are automatically approved; other refund reasons require manual review. Renewal and additional-seat payments do not qualify as first-subscription guarantee requests. After 24 hours, no refund category can be submitted through the self-service entry.
Alipay charges a 0.6% fee on the original payment, which is not returned on refund. Once all remaining funds have been refunded successfully, the subscription entitlements associated with that payment end.
Any fee deduction and its amount are shown in the application dialog. Paddle refunds use the refund amount displayed on the page. Submitting an application does not immediately cancel the subscription. Refund successful means the payment channel has confirmed the refund to the original payment method. While review, processing, or confirmation is pending, check the existing record and avoid duplicate requests.
Request and View Invoices
Alipay Orders
- Find a paid, invoice-eligible order in Order history and select Request invoice in its actions column
- Check the payment and invoice amount, then choose VAT ordinary invoice or VAT special invoice
- Enter the buyer information and select Submit application
- Follow the status in Invoice records; once issued, select View invoice to open the PDF and download it as needed
| Information | Requirement |
|---|---|
| Normal invoice | Individual or business buyer |
| Special invoice | Business buyer |
| Invoice title | Required |
| Taxpayer identification number | Required for businesses; 15–20 characters |
| Business address, business phone, bank name, bank account | Optional business details |
The company processes Alipay invoice applications and uploads the invoice PDF. Payments with pending, processing, or issued applications cannot be submitted again. After rejection, failure, or cancellation, read the reason, correct the information, and resubmit through an available Request invoice action.
Request invoices from the order's actions column; there is no separate invoice application button at the top of Subscription Information. No recipient email is required. View and download documents in Invoice records.
Paddle Orders
Paddle handles invoicing for its payments. View synchronized documents in Invoice records. Paddle orders do not use the Alipay normal / special VAT invoice application flow.
Credit notes or red invoices related to refunds also appear in Invoice records, with statuses such as Red invoice pending and Fully reversed.
Find and Export Records
Record lists support keyword search and the date filters shown on the page. Select Download Excel to export the current query results; the file is also sent to File Bag. Select Refresh in the top right to retrieve the latest status.
