Subject Mapping
Subject mapping connects external users, departments, and organizations to subjects in the current Soln workspace. Open the page from a selected OpenLink system so every mapping remains scoped to that system.
Subject Mapping Page
Use the subject type selector to switch between Organization, Department, and Member mappings.
| Area | Description |
|---|---|
| Search | Filters the current subject type by local or external name and code |
| Subject Type | Switches the list between organization, department, and member mappings |
| Auto Match | Configures field-based mapping for the current subject type |
| Create | Opens the manual mapping window |
| Mapping List | Shows the local subject, external subject, external code, and update time |
The page must be opened from an OpenLink system. If no system is selected, mapping actions are unavailable.
Create A Mapping Manually
- Select Organization, Department, or Member
- Click Create
- Select the local subject
- Enter the external subject name
- Enter the external subject code
- Click Create
| Field | Description |
|---|---|
| Local Subject | The organization, department, or member in the current workspace |
| External Subject | The corresponding name used by the external system |
| External Code | The stable identifier used by the external system |
One local subject can have only one mapping for the same OpenLink system and subject type. An external code must also remain unique in that scope.
Edit Or Delete Mappings
Use the row actions to edit or delete one mapping. Select multiple rows to delete them together. You can also select all records matching the current subject type and search filter, including records outside the current page.
Deleting a mapping does not disable Auto Match. If Auto Match is enabled, a later local subject update can create the mapping again from the configured fields.
Configure Auto Match
Auto Match uses fields from the local organization, department, or member profile form as the external subject name and external code.
- Select the subject type to configure
- Click Auto Match
- Choose Enabled or Disabled from Status
- When enabled, select the external name source field and external code source field
- Click Save or Save and Generate
Auto Match is configured independently for each subject type.
| Setting | Description |
|---|---|
| Status | Controls whether automatic synchronization is active for the current subject type |
| External Name Field | Supplies the external subject name |
| External Code Field | Supplies the external subject code |
When Auto Match is disabled, the source fields cannot be edited. Use Save to store the disabled state.
Save And Generate Behavior
| Action | Availability | Result |
|---|---|---|
| Save | Enabled and disabled states | Saves the configuration without generating mappings for existing subjects |
| Save and Generate | Enabled state only | Saves the configuration, then immediately generates mappings for existing subjects of the current type |
Save and Generate is unavailable when Auto Match is disabled or when the corresponding local profile form is missing.
During generation, Soln updates an existing mapping for the same local subject or creates a new one. A subject is skipped when either selected source field has no value. The completion message reports generated and skipped counts.
After an enabled configuration is saved, later creates and updates of local subjects synchronize their mappings automatically.
Recommended Workflow
- Confirm that the organization, department, or member profile form contains stable name and code source fields
- Configure Auto Match separately for each required subject type
- Use Save and Generate to create mappings for existing subjects
- Review generated mappings and resolve missing or duplicate external codes
- Keep Auto Match enabled for ongoing synchronization, or save it as disabled when mappings should be maintained manually
