Import Data
Import Data loads an .xlsx workbook into one form, with a target mapping per sheet and a policy for how existing records are handled.
Open Data Processing, then select Import Data.
Before You Import
- The file must be an
.xlsxworkbook, and the first row is used as the header - Decide which target form receives the data, and know which of its fields are required
- For master-detail workbooks, prepare one sheet for the main form and one sheet per child form; this mode only appends records
- The write mode defaults to append as new records; choose the update mode only when existing records must be matched and updated
Import A Spreadsheet
- Select the target form, or download the template and fill it in
- Choose the import policy: append as new records, or update existing records by a matching field; choose whether the creator is the current importer or comes from a column in the file; decide whether rows with errors are skipped; decide whether new records start approval
- Upload the file by selecting it, dragging it in, or pasting it, and wait until Soln has parsed the workbook
- Map the columns. Every sheet has its own mapping, and master-detail workbooks expose a main sheet and child sheets; add or remove mappings as needed
- Fix the warnings before starting: every required field must be mapped, a creator column must be mapped when the creator comes from the file, and master-detail imports only support appending
- Choose Start import and read the result: total rows, created rows, updated rows, and failed rows. Failed rows are listed with their row number and error, and an error file is delivered to the file bag
Verify The Import
- Read the result step: it reports the total rows and how many were created, updated, or failed
- When rows failed, open the error file from the file bag and fix the listed rows
- Open the target form and check a few imported records, then confirm the job in Task Records with the status succeeded
Import Policy
| Setting | Description |
|---|---|
| Write mode | Append as new records, or update existing records by matching field |
| Matching field | Field used to find the existing record when updating |
| Record ID | Shows the record ID column when it is part of the workbook |
| Creator source | Current importer, or a member identified by a column in the file |
| Skip rows with errors | Continues the import with the remaining rows instead of stopping |
| Submit approval after create | Starts the form approval for created records |
Column Mapping
| Column | Description |
|---|---|
| File field | Header of the uploaded workbook |
| Target field | Field of the target form |
| Type | Field type of the target field |
| Rule | Whether the mapping is required, optional, or match-only |
Master-detail workbooks require a matching key mapping for the main sheet, and every child sheet needs its own completed mapping.
Troubleshooting
| Symptom | What to check |
|---|---|
| Required fields are not mapped | Map every required field before starting; the message lists the missing ones |
| "Map the creator field" | The creator comes from a file column, so that column must be mapped |
| The creator cannot be resolved | The value must match a single member; use a unique email address, name, or employee number |
| The row reports an empty required value | Fill the required field in that row, or enable skipping rows with errors |
| "Match-only updates are not supported" | Master-detail workbooks only support appending; switch the write mode to append or split the import |
| The main matching key is duplicated or missing | Each row must reference an existing main record through a unique matching key |
| A matching field is empty | The matching field is required when existing records are updated |
