Edit Page

The edit page changes an existing record.

Open it with Edit on the view page of the record. The page loads the stored values and the child table rows before it becomes editable.

Page Layout

AreaDescription
TitleEdit, or Edit plus the record title
ToolbarSave draft, print, and save, followed by the custom buttons of the form
FieldsThe fields of the record with the groups of the form
Child tablesOne tab per child table, with the rows that are stored on the record

Change The Record

  1. Change the fields and the child table rows that need a new value
  2. Keep the rules of the form in mind: required values, field formats, date and number ranges, file counts, and the relation between organizations and departments are validated on save
  3. Wait for file uploads to finish before saving
  4. Select Save; the page reports that the record was updated

The child table supports the same row actions as the create page: add a row, add with search, copy, delete, and expand a row.

Child tables use custom table views whose scope includes Edit Page. If that view enables field totals, they appear at the lower left of the child table pagination area and include all matching rows, across its pages. See Field Totals for supported fields and formatting.

Approval Cases

CaseWhat happens
The record starts an approval on editThe change is submitted for approval and takes effect after the approval passes
The record is in approvalThe record cannot be changed until the approval finishes
The record is waiting for revisionThe initiator edits the record and submits the approval again from the view page

When a change waits for approval, the edit page reports that the change was submitted, and the official data of the record stays unchanged until the approval passes.

Drafts And Unsaved Changes

  1. Save Draft keeps the changes without saving them as official data; the record keeps the draft data state
  2. When unsaved changes are found on entry, the page asks whether to continue editing them or to start again from the saved data
  3. Leaving the page with unsaved changes asks for confirmation first
  4. A record that was saved as a draft can be opened again from the list, and its draft data is used when the record is saved

Organization, department, and member profile forms do not support drafts.

Automation Human Tasks

When the record is being edited as a human task of an automation or an approval, the page reports the task state: the record cannot be handled while its approval is still running.
