Create Page

The create page adds one record to a form.

Open it with New on the list page, with Copy on a record, or from a child table or a relation field that lets you create a new record.

Page Layout

AreaDescription
TitleNew, or New plus the form name
ToolbarSave draft, print, and submit, followed by the custom buttons of the form
Draft listThe draft icon next to the title opens the saved drafts of the form
FieldsThe form groups with the fields the member may fill in
Child tablesOne tab per child table, showing the number of rows

The primary button reads Create for organization, department, and member profile forms, and Submit for other forms. Those profile forms do not support drafts.

Fill In The Record

  1. Fill the fields of each group. Required fields are validated when you submit
  2. Fields that the design marks as read-only, hidden, or computed follow the form design
  3. Upload files before submitting, because the page waits until every upload has finished
  4. Validation messages point at the field, for example a required value, a length, a numeric range, a date range, a file count, or a department that does not belong to the selected organization

When a field depends on the member directory or the organization structure, that data must be loaded before the field can be used.

Child Tables

ActionDescription
Add RowAdds an empty row to the child table
Add with SearchPicks existing records of the related form and adds them as rows; rows that are already in the table are skipped and reported
Batch AddAdds several picked records at once
Copy RowDuplicates a row inside the child table
Delete Row, Batch DeleteRemoves one or several rows
ExpandOpens a row in a larger editor with the previous and next row navigation
Switch TableMoves between the child tables of the form

A record cannot be submitted while a required child table has no rows.

Child tables use custom table views whose scope includes Create Page. If that view enables field totals, they appear at the lower left of the child table pagination area and include all matching draft rows, across its pages. See Field Totals for supported fields and formatting.

Drafts

Save Draft keeps the values as a draft record of the form, in the draft data state, without submitting it.

  1. Select Save Draft; the form reports the title of the saved draft
  2. Select the draft icon next to the title to open Draft Data: drafts of the form with the same search, filter, and table layout as the list page
  3. Select a draft to fill its values back into the page, refresh the list, or delete a draft. Deleting a draft removes it permanently
  4. When unsaved values are found, the page asks whether to continue editing them or to start from a blank form
  5. Leaving the page with unsaved changes asks for confirmation first

The draft list only shows drafts that the member is allowed to read.

The draft list uses the List Page custom table view. Its enabled totals include all draft records matching the current search and filters, across pages.

Submit

  1. Complete the required fields and the required child tables
  2. Select Submit and wait for the result. The page reports the title of the created record
  3. If the form starts an approval, the record is kept as a draft and the approval starts; it becomes official data after the approval passes
  4. When the main record is saved but a child row still needs attention, the message lists the rows that failed

The page keeps the member on the form when the submit fails, and reports the reason.

Print

Select Print to preview the values that are currently filled in, choose a print template, and print the page or generate the file into File Bag. Printing needs a print template on the form.
