List Page

The list page is the record table of one form. Members open it to search, filter, export, print, and batch-manage records.

Open Work → Forms, select a form, and the record list opens on the right.

Page Layout

AreaDescription
TitleThe form name, followed by the saved filter tags of this page
ToolbarSearch, filter, custom table, refresh, and new, followed by the custom buttons of the form
TableOne row per record, with the fields and column groups that the custom table defines
Selection barAppears after selecting records, and shows the batch actions that are available
PaginationSelected field totals on the left, plus the record count and page size of 20, 50, or 100 records

Buttons that the form does not show inline are collected under More. Which buttons exist and where they sit is configured in Button Design → List Page placements.

Search Records

  1. Select Search in the toolbar
  2. Choose the search scope: All, or one field of the form. A location field is split into address, administrative area, street, postcode, and coordinates
  3. Enter a keyword and confirm; the table reloads with the matching records, and the scope stays selected for the next search
  4. Use batch search to look up many values at once: one keyword per line, and a record is returned when it matches any keyword
  5. Clear the keyword to return to the whole list

A list without matches shows No records matching the current keyword. An empty form shows No records.

Filter Records

  1. Select the filter button in the toolbar to open Add Filter
  2. Build the condition in the condition editor: field, operator, and value. Add as many conditions as needed
  3. Choose Save Filter to keep it for everyone who uses the page, or Stash Filter to keep it only for the current visit
  4. Name the filter and confirm; the filter appears as a tag next to the form name
  5. Select a tag to apply it, or select all tags to leave the filter
  6. Rename a tag, or delete it to remove the filter component from the page

Filter One Column

Every searchable column header carries a filter button.

  1. Open the filter of a column
  2. Set the condition for that column only
  3. Confirm to filter, or reset to remove the condition of that column

Column filters work together with the saved filter and the search keyword.

Customize The Table

The custom table decides which fields the record table shows, how they are grouped, and how the table looks. Administrators configure it once and every member sees the same layout.

  1. Select Custom Table in the toolbar
  2. Enter a view name, and choose the scope: List Page, View Page, Create Page, Edit Page, or Relation Page. One view can serve several scopes
  3. Add fields in Added Fields, search for a field, and drag fields into the order you want
  4. Group fields in Grouping List: create a group, choose the group level of one, two, or three, choose its parent group, and give it a name. Groups become the column headers of the table
  5. Switch on Show Border or Show Row Number when the records need them
  6. Lock the columns that must stay visible while the table scrolls horizontally, and unlock them again when they are no longer needed
  7. For a number field, a dynamic formula that returns a number, or a numeric summary field, select the statistics icon above the field name in the field list to turn its total on or off
  8. Save the view; the table reloads with the new layout immediately

Use Reset to discard the unsaved changes of the dialog, and Cancel to close it without saving.

Field Totals

Enabled totals appear at the lower left of the table pagination area. They add all records that match the current search, saved filter, and column filters, including records on other pages. Changing the page size or moving to another page does not change the total. Each field shows its own total; when there are many fields, scroll the totals horizontally.

The total uses the field's configured text color. Number and numeric summary fields also show their configured prefix, suffix, and decimal precision. A space separates a prefix or suffix from the number. A skeleton appears in the footer while a total is loading.

The view's scope controls where its totals appear: the list, view-page child tables, create-page child tables, edit-page child tables, or relation picker. Child-table totals cover all currently displayed rows after filtering, including rows on other pages of that child table. The relation picker totals cover all records matching its search, filters, and permitted data range. The draft picker uses the List Page view and totals matching draft records only.

Sort And Navigate

ActionDescription
SortUse the column menu of a field to sort ascending or descending; only one sort column is applied
Lock columnKeeps a column in place while the table scrolls sideways
Page sizeSwitches between 20, 50, and 100 records per page
PageMoves to the previous or the next page; changing the page or the page size loads that page again

Select And Batch Manage

  1. Select the checkbox of a row, or select the checkbox of the header to select the current page
  2. The selection bar above the table shows how many records are selected, and offers Clear Selection and Select All
  3. Select All selects every record that matches the current query, not only the loaded page
Batch actionDescription
ForwardSends the selected records to members as an internal message; select specific records instead of all matching records, because every forwarded record needs its own title
ExportExports the selected records with the fields you choose
PrintGenerates print files from the selected records
DeleteRemoves the selected records from the list; the records can still be restored afterwards
Enable or disableSwitches the state of the selected records of a directory form
Directory actionsSet organizations as independent, move departments, or change the department of members

Organizations, departments, and members can only be disabled, never deleted. A record that is in approval cannot be deleted or changed until the approval finishes.

Row Actions

ActionDescription
ViewOpens the view page of the record
CopyOpens the create page with the values of this record already filled in
MoreHolds the row buttons that the form hides inline, for example forward or delete

Export Records

  1. Select records and choose Export, or export a single row from its menu
  2. In Select export fields, choose the fields to include, decide whether the record ID is included, and use Select All, Invert Current Page, Clear, or Restore Default to change the selection quickly
  3. Confirm to export. A small selection downloads as a workbook directly
  4. When all matching records are selected, the export becomes a background job: the file is generated by data processing and delivered to File Bag, and the notification arrives in Reminder

Hidden fields are marked in the field list, and at least one field or the record ID must be selected.

  1. Select records and choose Print, or print a single row from its menu
  2. In the print preview, choose the print template of the form
  3. Select Print to open the PDF in the browser and print it, or generate the file into File Bag
  4. A batch print generates one file per record, and the confirmation shows how many files were produced

Printing needs a print template on the form. Without one, the preview reports that no template is available.

Mobile

On a mobile viewport the search and the batch actions open as drawers, and selecting records switches the header into selection mode with the count and the available actions.
