View Page

The view page brings together a record’s fields, child tables, related data, approvals, automation, and change history. A configurable view page sidebar keeps frequently used views and related forms beside the record.

Open a record from the View action of the list page, from a link that points to the record, or from related data.

Page Layout

AreaDescription
HeaderRecord title and the record actions
Field cardThe record fields with the groups and layout of the form, including files, members, organizations, departments, and location fields
Child tablesOne tab per child table, with the number of rows in the label
Related recordsOpens a record that the current record points to, with the related record rail showing where it came from
Related form blocksRecords from other forms that reference this record, as configured in the page body
View page sidebarConfigurable entries for approvals, automation, permissions, change history, and related forms

The related record rail keeps track of the records opened from this page, and Close All closes them at once.

Child tables use custom table views whose scope includes View Page. If that view enables field totals, they appear at the lower left of the child table pagination area and include all rows matching the child table's column filters, across its pages. See Field Totals for supported fields and formatting.

Record Actions

ActionDescription
EditOpens the edit page of the record
CopyOpens the create page with the values of this record
DeleteDeletes the record after a confirmation; the record can still be restored afterwards
Enable or disableSwitches the state of a directory record; organizations, departments, and members can only be disabled
ForwardSends the record to members as an internal message
ExportExports the record with the fields you choose
PrintPrints the record with a print template of the form
RefreshReloads the record and its panels
CloseReturns to the list page

On a mobile viewport the actions that do not fit are grouped, and the side panel opens over the page.

Approval

The header and the approval panel show the approval state of the record: not started, waiting, pending, approved, rejected, returned, waiting for revision, withdrawn, or blocked.

ActionDescription
WithdrawThe initiator ends the current approval; the values that were entered stay on the record so they can be edited and submitted again
Approve, reject, returnThe approver decides the current task. A comment is required
Add approverAdds approvers to the current node and notifies them
Retry service callRuns a failed service call node again
Act on behalfA platform administrator handles the task for the approver, or withdraws it for the initiator, and gives a reason

While an approval is running, the record cannot be deleted or changed. When an approver returns the record, the initiator edits it and submits it again.

When a record is edited through an approval, the page shows the values of the submitted revision, while the official record data stays unchanged until the approval passes.

Record Panel

The View Page Sidebar component in the matched layout controls the order, visibility, and related form entries of the right-side panel. Select an entry to switch views. Hidden entries are not shown, so the panel does not always contain exactly four sections.

To change it, open the form’s Layout Design, edit the sidebar component in a default or view layout, adjust menus or add related forms, and save. See Canvas and Components for steps and Design Notes for layout behavior.

Approval Records

The timeline lists the nodes of the approval with start time, completion time, duration, assignee, and comment. It marks the pending tasks, the service calls that are running, succeeded, or failed, the wait callback results, and the nodes that ended because of a timeout. A child record that follows its main record shows a note instead of its own timeline.

Node types are start, approval, condition, service call, message, wait callback, and end.

Automation Tasks

The automation section lists the automation executions of the record with their status: running, succeeded, failed, or canceled.

  1. Open a task to see its task items, the fields to handle, and the linked record
  2. Use Handle or Go to to open the record that must be processed, or Complete to finish the task
  3. Use View Tasks to see all tasks of the execution. A platform administrator can handle the task on behalf of the assignee

Member Permissions

The permissions section shows who can reach this record.

ColumnDescription
SubjectThe member, department, organization, or role
Subject roleCreator, updater, or a custom rule
ActionsView, edit, or delete
SourceCreator, updater, data policy, or conditional sharing

Access Overview explains which fields carry member rules and which role data policies apply to the form.

Change History

The change history shows every operation on the record, newest first.

ItemDescription
ActionCreate, update, change, delete, or restore
ValuesThe value before and after the change, or the value that was created
ActorThe member who acted, including platform operators, system, agents, integrations, or the approval, automation, and integration flows that triggered the change
SourceDirect operation, delete rule, summary recalculation, dynamic formula recalculation, or an OpenLink flow
Data titleThe change of the record title, data state, or approval state

Use the date filter to narrow the history, and Load More for older entries. The creation snapshot shows the child table rows that existed when the record was created, and every entry can copy its log ID.

A layout can place related forms in the page body or add them as sidebar entries. These views show records in other forms whose Search or Multi-select Relation fields reference the current record.

For example, a customer's “Follow-ups” entry collects records whose “Customer” field references that customer. This differs from opening the target of a relation field on the main record.

View and Create Records in the Sidebar

  1. Open a related form entry configured in the sidebar.
  2. Read the related record cards and open a record to view its details.
  3. Use the create action to fill in the related form in the panel. The relation to the current main record is prefilled.
  4. After saving, the new record appears in the related record list.

Form and record permissions still apply. If no records appear, check whether their relation fields reference the current record. If the form entry is missing, check whether the matched layout includes it or hides it.

Search and Discuss

The related form sidebar view includes records and discussion messages. Reply to a related record to keep the discussion connected to that record.

  • Send a message from the composer and mention members when needed.
  • Use a record’s reply action before entering a comment about that record.
  • Open search, enter a keyword, and press Enter to find related records and discussion messages. Select a result to locate it.
  • Use the date range to narrow the search when needed.

Configuring a sidebar entry does not grant other members permission to read its records.

Shared Approval Discussion

The composer of the approval panel sends a message to the participants of the current approval.

  1. Mention Luna to ask about the record, or mention members to notify them
  2. Choose the visibility of a message: visible to approval participants, or only to the mentioned members
  3. Use Manage Sharing to change who may read a message. Revoking sharing only stops later reads
  4. Delete a message for yourself, or delete it for the other participants at the same time

When a member is mentioned, that member receives a notification about the message.

When Access Is Denied

The page reports the reason and keeps the member on a page they can reach: no access to the record, no permission to edit it, no permission to delete it, no permission to print it, or a record that is not available yet.
